RESERVE FILE CHECKOUT

The reserve file in the Learning Resource Center consists of all the study materials that the TWU faculty place in the LRC during a semester. Students are allowed to make Xerox copies, but they are not allowed to take the materials from the LRC area. Under no circumstances is a student allowed to take a reserve item home or to class.

Students who want a reserve file item must fill out a small yellow form known as a RESERVE CALL FORM. This form should include the student's name and telephone number as well as the "call number" for the item needed. The call number is the number assigned by the LRC staff as each item is added to the reserve file.

In addition to the Reserve Call Form, the student must present a current TWU identification card. Other forms of identification may also be accepted. Using a paper clip, the I.D. card is attached to the Call Form and kept until the reserve item is returned.

The LRC assistant must attempt to telephone any student who has kept a reserve item more than one hour or who has not brought back materials by fifteen minutes before closing time.

A faculty member who adds an item to the reserve file fills out a form known as a RESERVE REQUEST FORM. This form has both a yellow copy and a white copy.

Most reserve items are copies of articles or other short stacks of printed materials. As each is brought in by a TWU faculty member, the LRC assistant places the item in a new, clean manila folder. These folders are organized in groups of three inside larger hanging brown folders. As each item is added to the reserve file, the LRC assistant must do the following:

(1) Assign a call number by writing it on the Reserve Request Form. Also, check off the same number an the LRC Reserve Count sheet posted on the inside right door of the reserve file cabinet.

(2) Make sure that the assigned call number is written on both sides of the manila folder. Then, write the name of the instructor on the folder tab and on each group of pages within a given folder. Tear off the yellow copy of the form and staple it to the inside of the folder.

(3) Add the white copy of the faculty Reserve Request Form to the LRC reserve file. The file consists of notebooks which separate the reserve listings according to course level.

Each reserve call number is used only once each semester. Materials brought in later by the same faculty member require a new form and are assigned a new call number.

Large bulky items are not placed in manila folders. Instead, they are placed on the lower shelves of the reserve file cabinet and are assigned numbers starting with "1000". Do not write instructor names on books, tapes or other items of obvious inherent value. Rather, write the name on a REMOVABLE label and place the label on the item. (Be absolutely certain that label is the REMOVABLE type. If in doubt, check with supervision.)
